At DENTEWAY, we are committed to providing high-quality dental care and ensuring your satisfaction. This Refund Policy explains our procedures for refunds, cancellations, and adjustments to services and payments.
Service Refunds
Dental services are generally non-refundable once treatment has been completed. However, we understand that circumstances may arise where a refund or adjustment is appropriate:
- Treatment Not Completed: If treatment is not completed due to circumstances beyond your control, we will provide a partial refund for the unused portion of the service.
- Service Error: If there is an error in the service provided, we will work with you to correct the issue or provide an appropriate refund.
- Prepaid Services: For prepaid treatment plans or packages, refunds will be calculated based on services already rendered.
Appointment Cancellations
We require at least 24 hours notice for appointment cancellations:
In cases of medical emergencies or unforeseen circumstances, we will work with you to find a fair solution.
Product Refunds
For dental products, appliances, or devices purchased from our practice:
- Unopened, unused products may be returned within 14 days of purchase for a full refund
- Custom-made items (such as dental appliances) are generally non-refundable once fabrication has begun
- Defective products will be replaced or refunded at our discretion
- All returns must be in original packaging with proof of purchase
Insurance and Payment Adjustments
If your insurance coverage differs from our initial estimate:
- We will adjust your account balance accordingly
- Overpayments will be refunded within 14-21 business days
- Refunds will be issued to the original payment method when possible
- For cash payments, refunds may be issued by check
Refund Processing
Refund requests will be reviewed on a case-by-case basis:
- All refund requests must be submitted in writing or via email
- We will respond to refund requests within 5-7 business days
- Approved refunds will be processed within 14-21 business days
- Refunds will be issued to the original payment method when possible
Non-Refundable Items
The following items and services are generally non-refundable:
- Completed dental procedures and treatments
- Custom-made dental appliances that have been fabricated
- Consultation fees for completed consultations
- Laboratory fees for work already completed
- Services covered by insurance that have been submitted and processed
Disputes and Appeals
If you are not satisfied with a refund decision, you may:
- Request a review by our practice manager
- Submit additional documentation or information
- Schedule a meeting to discuss your concerns
